Fleet Replacement Planner

Review your current work vehicles and identify which ones may deserve attention now, which should enter your replacement forecast, and which may still fit your current fleet plan.

Add your vehicles below and build a simple replacement forecast based on age, mileage, annual use, repair costs, downtime and how long it takes your business to put a replacement vehicle into service.

Actual replacement decisions should consider vehicle condition, maintenance history, operating costs, business needs and professional inspection where appropriate.

Look Beyond Mileage Alone

A commercial vehicle’s replacement decision can depend on several factors working together.

  • Vehicle age
  • Current mileage
  • Annual mileage
  • Repair and maintenance costs
  • Vehicle downtime
  • Future workload
  • Factory-order and upfit lead time

Your replacement date and your order date may not be the same. If a replacement vehicle must be factory ordered, transported and commercially upfitted, the ordering process may need to begin well before the existing vehicle is expected to leave service.

Planning Logic

What the Fleet Replacement Planner Considers

No single mileage or vehicle age determines when every commercial vehicle should be replaced.

Age & Mileage

An older or higher-mileage vehicle may deserve additional attention, especially when several other operating-cost concerns are developing.

Repair Cost & Downtime

Repair bills are only part of the cost. Time out of service can affect employees, customer appointments and revenue-producing work.

Annual Usage

A vehicle accumulating mileage quickly may move toward its next replacement decision sooner than a similar vehicle driven substantially less.

Business Need

A vehicle may still run well but no longer fit the employee’s towing, payload, cargo or equipment requirements.

Replacement Lead Time

Factory ordering, transportation and commercial upfits may require advance planning before a replacement vehicle can enter service.

Future Growth

New employees, contracts, territories or company locations can create vehicle demand even when existing fleet vehicles do not yet need replacement.

This tool intentionally does not use one universal “replace at X miles” rule. Commercial vehicles can have very different duty cycles. Use the result to identify where a more detailed business and vehicle review may make sense.

Plan Ahead

Turn the Replacement Forecast Into an Order Plan

Once you know which vehicles may need attention, the next step is figuring out what should replace them and when orders should be placed.

Choose the Replacement

Review the employee’s current workload rather than automatically replacing the old vehicle with the same model.

Plan the Factory Order

If the vehicle is not immediately needed, factory ordering may allow the configuration to be built around the job.

Plan the Upfit

Service bodies, shelving, racks and other commercial equipment should be considered when replacing an upfitted work vehicle.
